Catering Policies & General Information

Billing:
A 50% deposit required to book and guarantee all events. All remaining payments are due upon completion of the event unless other arrangements have been made prior to the event.

Guarantees:
In order to make your event a success, please notify us with your guaranteed number of guest attending each function, at least 2 business days (48 hours) prior to the event. Guarantees are not subject to reduction within the 2 business days. If no guarantee is provided at the appropriate time, the event will be charged and set up for the original expected number at the time of the booking. Your organization is responsible for providing the guaranteed number within the appropriate time frame.

Pricing and Scholarship Fund
All quoted prices on banquet charges are subject to a 15% scholarship fee and a 12% Virginia State sales tax. Printed menu pricing is subject to change without notice; however, all contracted pricing will be honored.

Food Items to Ensure Compliance:
Due to state food handling regulations, food must be consumed on premises at the contracted time. No food may be removed from the catering location after being served at the scheduled event.

Cancellation:
In the event of cancellations, Bristol Banquet and Catering Services will charge the following percentage of total anticipated revenue:

1-7 Days 100%
8-13 Days 75%
14-29 Days 50%
30 Days 0%
There is a $100.00 cancellation fee that is applied to all cancellations.

Event Timing:
Failure to comply with the times on your catering contract may result in a reduction of food quality, for which Bristol Banquet and Catering Services will not be held responsible. In order to maintain freshness, buffet items will remain out a maximum of two hours. If the event does not start and end at the contracted time, there will be a $100.00 per half hour charge to your bill to cover overtime cost for labor.

Menu Selection:
A final menu selection is due 1 week prior to the date of your event. It is imperative that you inform your catering representative of any individual restrictions due to allergies, vegetarianism, or personal preferences. Should you desire menu ideas beyond our suggested offerings, we will assist you in developing a customized menu. Menu prices are subject to change without notice based on market price fluctuations. No food may be brought in from another source.

Locations:
We can cater events in the Ballroom and Banquet rooms of the Southeast Culinary and Hospitality College, Southwest Virginia Higher Education Center or any other location that allows outside vendors to bring in food.

We do not allow glitter or confetti to be used in our banquet rooms- if this is done there will be a $50.00 cleaning charge.
